Travel Coordinator / Concierge

Steadfast Africa — Cape Town

Steadfast Africa is seeking a highly organised Travel Coordinator to support our Travel Designers in the preparation, administration and logistics of bespoke travel itineraries. This role ensures that every detail of a client’s trip is confirmed, accurate and running smoothly. The Travel Coordinator works closely with suppliers, manages bookings and supports concierge services so that Travel Designers can focus on client relationships and trip design.

 

KEY RESPONSIBILITIES

Itinerary Support
Assist Travel Designers with preparation and administration of bespoke itineraries. Populate and update itineraries within booking systems and CRM. Ensure all travel components are accurately captured. Check itinerary details for accuracy, timing and routing.

Supplier Coordination
Liaise with safari lodges, hotels, restaurants, guides, transport providers and experience partners. Request availability, rates and confirmations from suppliers. Track booking confirmations and ensure all services are secured ahead of travel. Maintain accurate records of supplier communication.

Concierge Services
Arrange accommodation reservations, restaurant and spa bookings and activities. Assist with tickets, excursions and special client requests. Coordinate special experiences and guest requests. Support last-minute arrangements where required.

Operational Administration
Ensure bookings are correctly captured in internal systems. Track deposits, payments and supplier deadlines. Prepare travel documentation and guest information packs. Conduct pre-departure checks to ensure trips are fully confirmed. Back up for Travel Designers when they are on leave.

Quality Control
Review itineraries before sending to clients. Double-check timing, logistics and confirmations. Flag potential issues or missing elements to Travel Designers. Ensure guest preferences and special touches are included.

 

CANDIDATE PROFILE

Skills & Attributes
Highly organised with exceptional attention to detail. Excellent written and verbal communication skills. Ability to manage multiple tasks and deadlines. Calm under pressure and solution-oriented. Strong administrative and coordination ability. Confident communicating with suppliers.

Experience
1–3 years experience in travel, tourism, hospitality or guest services. Experience with booking systems or CRM tools advantageous. Proficiency with Microsoft Office or Google Workspace.

Personal Qualities
Self-motivated and proactive. Curious about travel and destinations. Positive and team-oriented. Strong service mindset.

 

WORK DETAILS

Office-based role in Gardens, Cape Town. Working hours: 09:00 – 17:00.
